Employee ID cards are becoming mandatory these days in India. Irrespective of the organization scale we require them. Designing of ID cards is OK when number of employees is upto 20. As it can be done easily by graphic designer at printer end or company. Even the office staff can type and create them in any known software like MS Word, Power Point, CDR, PSD, adobe illustrator etc. But what if the number of employees are more say more than 50 or 100 employees. It will take lot of time to type, add photo resize etc.
This requirement is genuine and so has to be the solutions. Keeping this in mind there are various companies which provide copyrighted and free online and desktop software. These software can be used to auto populate the employee data. Normally there are following undermentioned fields which are termed as variable in ID card design. Variable data field are those field which will change for every employees. Fixed data field and design elements are the one which will remain constant.

Now how does it work is that fixed elements will remain the same and variable are populated from a feeder. So, what can this feeder be and what needs to be the format for supplying this information. As a graphic designer or a printing company like Whizz Prints we can advise you how to get the 1st parent copy of the design. After designing the ID cards rest all details needs to be provided by your company i.e. Employee information.
There are few ID card printers who even provide service of taking employee photographs as well. But we are not providing such service. We require all variable data information to be provided in excel or csv format. Photographs can be put in a folder and zipped with the excel sheet and shared as an attachment over the email. Photograph name should be either employee name alone if the employee name is not same else combination of employee name with employee ID number. Photographs should be clear in high resolution and should be in the passport size. If you have hard copy of the passport size photograph then you can scan them and send to us as well. Hard copy scanning of photograph is not done at our end.
Kindly check and ensure that all information provided is correct and spell checked properly. As we would be using software for populating these fields we shall not be in position to check and verify. Any customer mistakes will not be liability for reprints. In case of new employees joining the organization you can provide information either in same format as discussed above. If employees are less than 5, then you can provide this on the email as well.
Difference between multiple ID cards for school/colleges and employee cards is that in former we have mainly just fixed data cards printed and variable data is entered with permanent marker or pen by teachers. This is not the case with employee ID cards. Same procedure for designing applies even if you want access card or RFID card. If there is some bio-metric information or sensitive, confidential information saved on card then that can be done via bio-metric machine directly as well.

Placing the order is fairly simple even if you don't have your own design. You can choose any of our ID cards design and customize any card with your company details. You can proceed to save the design. Later on you can provide rest all details to us. In case you are uploading your own designs and want to us enter the variable data for multiple employees then you have to ensure that you have editable design format with you. We will not be able to populate in non editable file like png, jpeg etc. Fonts used in the artwork need to be provided as well.
